Position Summary

The Project Coordinator supports the successful execution of high-end architectural millwork projects by ensuring schedule integrity, task follow-through, and cross-functional alignment.

This role sits at the interface between:

  • Engineering
  • Project Management
  • Production
  • Installation Management

The Coordinator does not own departmental decisions or operational oversight. Functional leaders remain fully accountable for performance and execution. The Coordinator serves as structured support to those leaders by maintaining visibility into commitments, tracking progress in INNERGY, reinforcing process discipline, and escalating risk when necessary.

The position reports to the Chief Operating Officer at Acacia.

Innergy System Ownership (Operational Integrity)
  • Maintain accurate project schedules in INNERGY by adjusting and coordinating work order dates with direction from functional leaders.
  • Track milestone dates and task assignments
  • Identify past-due and at-risk deliverables
  • Generate structured reports of overdue activities
  • Ensure change orders, RFIs, and submittals are properly logged and tracked
  • Support accurate WIP inputs and operational forecasting
Cross-Functional Coordination Support
  • Serve as information hub between Engineering, PM, Production, and Installation
  • Track open action items across departments
  • Monitor interdepartmental handoffs
  • Support production release timing and installation readiness
  • Document and track commitments made in operations meetings

The Coordinator supports leaders in executing their commitments but does not replace their accountability.

Escalation & Risk Visibility

The Coordinator has the authority to:

  • Request status updates from functional leaders
  • Seek confirmation of due dates
  • Flag risks to schedule or execution
  • Escalate unresolved or repeated breakdowns to the operations team

Escalation is not punitive. It ensures early visibility and proactive correction.

Customer-Facing Schedule Support
  • Assist PMs in generating clean and format consistent project schedules for client communications.
  • Prepare milestone updates and progress summaries.
  • Ensure published schedules reflect realistic execution timelines.
KPI Tracking & Reporting
  • Maintain operational dashboards for:
    • Engineering throughput
    • Engineering release timing (budget vs. actual)
    • Cost of Quality (rework time and materials)
    • Production labor and materials (budget vs. actual)
    • Installation fee schedules (budget vs. actual)
    • SQDC dashboard
  • Track change order cycle time
  • Support monthly operational performance reporting
  • Identify recurring bottlenecks and process breakdown patterns
  • 3+ years in construction, millwork, manufacturing, or project coordination
  • Experience with ERP or project management software required
  • Aptitude and skills to use AI to improve business processes, where applicable
  • INNERGY experience preferred
  • Advanced Excel skills required
  • Highly organized and detail-oriente
  • Comfortable working inside ERP systems
  • Structured communicator
  • Persistent but professional in follow-up
  • Emotionally steady under pressure
  • Comfortable interacting with technical and production teams
